What's new

Everything we have changed, newest first.

Maxify Fuels is improved most weeks, and the screens your staff use change with it. This is every change a station will notice — what moved, what is new, and what to do differently.

Record an expense an attendant paid out of their cash bag

When an attendant pays for something for the station out of the shift's cash — tea for the crew, a plumber, a puncture, an advance to a colleague — the manager can now record it at the shift close. On the attendant's Shift form (typing for them), the new “Expenses paid from the bag” section takes the same categories as the cashbook, your own categories included. The bag tallies without the attendant being shown short, and the expense goes straight into the expense report and the P&L; at the day close it is booked in the cashbook as an expense paid from cash, with the full sale beside it. If the attendant handed over on their own phone, add the expense from the shifts board instead. Only managers and owners can record or void one, and nothing about it can change once the day is closed.

Inventory and Non-fuel stock fit a phone screen

On a phone, the Inventory and Non-fuel stock screens used to slide sideways because a wide table pushed the whole page out. Now the page stays the width of your screen: swipe the row of tabs left and right to reach the last ones, and swipe inside a table to see its other columns.

NewManagersOwners

Pay a credit customer back the credit they hold with you

When a credit customer's outstanding is below zero — they paid in advance or paid too much — their account now has “Pay back their credit”: type the amount and whether it went out as cash, bank transfer, UPI or cheque. The money comes out of the cashbook, shows on the day book as “Less paid back to customers”, and their statement reads “Paid back”. You cannot pay back more than they hold, and a pay-out is edited or voided like a settlement.

ImprovedManagers

Receive stock takes a supplier's whole bill, new products included

Type the supplier, invoice number and date once, then add a line for every item on the bill — and pick “New product” on a line for something you have never stocked, so it joins the catalogue as it arrives. Each item's cost and GST fill in from its last delivery, and a running total shows taxable value, CGST and SGST to check against the paper bill. Say whether you paid nothing, in full or part; a barcode left blank on a new product is made for you.

NewManagersOwners

Change a price or give a discount on a counter bill

On the counter, a manager can tap “Price / discount” on any item to charge a different price for that bill only, or take an amount or a percentage off the line. The price list does not change. GST is worked out on the discounted amount, the invoice shows the discount on the line, and the day's bills are marked “Price changed” or “Discount” so the owner can see them. Attendants do not get these controls.

NewManagersAttendantsOwners

Record a credit customer paying their dues to an attendant during a shift

The shift form has a new “Credit customer payments” section: pick the customer, type the amount, choose cash, UPI or card, and add a reference if there is one. The money goes into the attendant's bag with the rest of the shift's takings, so count it in the cash, UPI or card you hand over — the shift still tallies, and the customer's dues come down as soon as the handover is saved and show on their statement. At the day close the payment is counted into what that attendant owes and booked to the cashbook as a customer payment, not as sales. A payment recorded by mistake can be voided from the customer's account, which works the handover out again.

NewManagersAttendantsOwners

Fuel your staff take is booked to their own account and taken from their pay

When a staff member fills their own vehicle, add it as a credit fill and pick them under “Staff (taken from pay)” — an attendant can pick only themselves, a manager anyone. On payday it comes off what is handed over, after any advance, and whatever the month cannot cover waits for the next payday. It is not a deduction, so it never counts toward the 50% limit; the payslip shows it as a Staff fuel line, and the accounts are listed apart from your credit customers.

NewManagersAttendantsOwners

Sell an LPG new connection with a refundable deposit, and pay it back when the cylinder returns

At the counter a cylinder is now a Refill or a New connection. A new connection takes no empty and collects the deposit you set on the product — with the customer's name and phone — as its own receipt beside the bill, never on the invoice and never under GST. When the cylinder comes back, pay the deposit from the attendant's bag at the counter, or from the cash or bank on the new Cylinder deposits tab; either way the empty is booked back in. The day close counts deposits into what each attendant owes, and the balance sheet shows them as Cylinder deposits held.

NewManagersOwners

Record money an attendant was short and paid back after the day closed

A closed day that came up short now has “Money received later”: pick whose shortfall it was, type the amount and whether it went into the cash or the bank. The money goes into the cashbook on the day it came in, the closed day shows it beside its variance with the net, and when it covers the whole shortfall that shortfall is closed rather than deducted from pay. A shortfall already deducted from pay cannot be paid back twice.

NewManagersAttendantsOwners

Record money taken some other way — a wallet, a fleet card, a cheque

Under Cash, UPI and Card the shift form now has “+ Other payment”: name it, say whether it goes to the bank or the cash, and type the amount. It counts as money handed over, so it is not a shortfall. The day close shows an Other column on days that took any, and the cashbook books it to the account each line named. A name you have used comes back as a bubble on your next handover, and its ✕ removes it.

NewManagersOwners

Cleaners, watchmen and helpers can check in on the station phone

Other staff now check in and out on the station phone by face or PIN, just like attendants, and their check-in marks them present in the attendance register. Set their PIN from the Staff screen; they set up their face on the station phone with it. The register also suggests Present on days you recorded their hours or paid them the day's wage.

NewManagersAttendantsOwners

Add a remark to a shift handover, and to each credit fill

The shift form has a Remarks box for the manager — a torn note, a card machine that was down — shown on the Shifts screen and the owner's day page. Each credit fill can carry its own remark too, and that one prints on the customer's statement, its spreadsheet and the shared link, so write it for the customer. Both are optional.

NewManagersOwners

Record a fuel delivery from its invoice total

When you record or correct a fuel delivery you can now type the invoice total, tax included, instead of the rate per litre. Maxify Fuels works out the rate and shows it, greyed out, in the rate box before you save, and the delivery keeps the exact total you typed.

ImprovedManagersOwners

A payslip now shows the salary advance that comes off payday

The Deductions box on a payslip, and on each person's payroll page, now lists any salary advance still out and how much of it payday will take back. Once the month is paid it shows what was taken back. Net pay does not change — the advance only reduces what is handed over on payday.

13 Oct 2026

NewManagersOwners

Work out the yearly statutory bonus and add it to pay

After 31 March, the Statutory bonus screen under Payroll works out each person's bonus for the past financial year under the Payment of Bonus Act, from the months already paid. The owner first sets the bonus percentage, between 8.33% and 20%, on the station in My Pumps. The manager can leave someone out with a reason, and adds the bonus to that month's pay in one step.

NewManagersOwnersAttendants

Payslips show the year so far, and leave has a yearly allowance

Every payslip now shows pay for the financial year so far, from April, counting the months already approved or paid. You can also set leave types with days a year and how many unused days carry into the next year; the leave year starts on 1 April. Balances show when leave is asked for, when you approve it, and on the Staff screen, and approving past the allowance warns you rather than stopping you.

ImprovedOwners

See your balance sheet on 31 March, and last year's profit stays put

The balance sheet now has an As of date, with one tap for 31 March of each recent year, and shows where your net worth came from: last year's figure, this year's profit, money you put in or took out, and anything left unexplained. A past year's profit is now costed at the purchase prices of that year, so it no longer changes when a new tanker arrives. The profit and loss also shows opening stock, purchases and closing stock, the way your accountant reads it.

NewOwnersManagers

See any report for a whole financial year

Every report that covers a period now lists financial years (1 April to 31 March) under Range — pick one and the dates fill in, and the Excel download covers the same year. Reports still open on today or this month. The expense ledger now starts again each 1 April, your treasury shows money taken out and put in for a chosen year, each loan shows the interest paid in a year, and the compliance calendar now includes the annual GST return (GSTR-9).

FixedManagersOwners

Bill and invoice numbers that restart on 1 April no longer clash

Imported past bills now keep last year's bill 001 apart from this year's, instead of one overwriting the other — if an item could belong to either, add the bill's date in the new Bill Date column of Past Bill Items. A supplier invoice number used again after 1 April can now be recorded as a delivery or stock purchase; the same number twice in one financial year is still refused.

NewManagersOwners

Money borrowed in PetroSoft comes in as a loan

When you bring in a PetroSoft history, an account you lent or borrowed through can now be marked as a lender. It becomes a cash-credit loan on the Loans screen, with what was owed on the first day, every sum received and paid back, and what is owed now — and your bank and cash match PetroSoft day by day. PetroSoft never split out interest, so each repayment counts as paying the loan down; set a rate or limit later on the Loans screen.

FixedOwners

Enter a salary paid before the cashbook tracked salaries

Salaries paid before Maxify Fuels recorded them in the cashbook never left your cash or bank balance on screen. A person's payroll page now says so for those months and lets you enter the payday once. Skip it if you already recorded that salary yourself as an expense.

Take me there
FixedManagersOwners

Stock and sales can no longer be added to today after it is closed

Once today has been closed, a new delivery, transfer, write-off, DIP, shift or counter bill is refused with a note to enter it tomorrow — after the close it would have missed the day's tank reconciliation. Money still goes in as normal: a bank deposit, expense, payment or payday can be recorded after the close.

FixedManagers

Shop stock you receive is now paid for, or owed to the supplier

Receive stock now asks what you paid the supplier and whether it came from cash or the bank. What you paid comes out of the cashbook, and what you did not pay shows on the dealer accounts and the balance sheet like an unpaid fuel invoice. Stock received before today counts as already paid.

Take me there
FixedManagers

A fuel delivery paid on the spot now comes out of your cashbook

Record delivery asks whether the payment came from cash or the bank, and takes it out of that account — before, it never left the cashbook, so cash or bank read too high. Editing a delivery from Inventory now keeps its tax and what was paid. Deliveries recorded before today are left as they were.

Take me there
FixedOwners

Profit and loss now counts what the stock and the till lost

The profit and loss now takes off fuel written off or found short by the DIP, test fuel not poured back, counter stock written off, and money short at the day close — and adds back what was recovered from pay. Fuel is costed including the purchase tax, and counter goods before GST, so the margin is no longer overstated. The balance sheet shows counter GST collected but not yet paid, and the cashbook has a GST paid to government category for paying it.

FixedManagersOwners

A shortfall found at a handover is no longer raised again at the day close

A shortfall at a handover is one discrepancy. The day close now raises another only for money that went missing after the handovers, so confirming both can no longer take the same shortfall from somebody's pay twice.

FixedOwners

Supplier dues, fuel losses and payroll totals agree across screens

The fuel purchase tax report counts payments made to the supplier, oldest invoice first, so its outstanding matches the dealer statement. Fuel lost over a period counts each day's loss once. The owner's payroll totals include staff not yet paid this month, as the manager's board does.

FixedOwners

The audit log's date filter now follows the Indian day

Filtering the audit log by date now covers midnight to midnight in India. Until now a change made between midnight and 5:30 in the morning was listed under the day before.

Take me there
FixedOwners

A station's day now shows what was sold on credit

When you open a closed day, the figures now include credit sales beside what was collected, for the day and for each attendant, and each shift's submitted amount includes its credit fills. Collected plus credit, less expected, now adds up to the variance shown. Until now a day with credit sales looked short by exactly the credit.

Take me there
FixedOwnersManagers

Large dealer and customer balances no longer stop screens from opening

Once a dealer's purchases or a credit customer's dues passed ₹2.15 crore, the inventory, dealer, receivables and balance sheet screens could fail to open. They now show any amount.

FixedManagersAttendants

The counter's total for the day now counts every bill

The total above the counter's bill list now counts every bill of the day. Until now it stopped at the latest 20 bills, so on a busy day it read low. The list itself still shows the latest 20.

FixedOwnersManagers

A few dates now read on the right day in India

A promo code now works until midnight on its last day, not until 5:30 in the morning. A cancelled invoice's withdrawal date, a statement link's expiry and a card or UPI payout fetched from PhonePe or Paytm after midnight are now shown on the day they happened in India, not the day before.

FixedOwners

A cancelled payment no longer makes an old debt look new

When a customer's payment is cancelled, what they owe now ages from the day they were first charged, not from the day the payment was cancelled. A payment that was later cancelled also no longer counts as the customer paying quickly. What each customer owes is unchanged.

Take me there
FixedOwnersManagers

The day book shows corrections apart from sales and receipts

A cancelled payment or a moved credit fill no longer shows as both a credit sale and a receipt. A correction to an earlier day appears in its own Corrections column on the days it happens. On the stock card, cancelling an earlier day's bill now shows in the Other column instead of as negative sales.

FixedOwnersManagers

Payroll's Left to pay is what you still have to hand over

Left to pay no longer counts wages already paid on the day or advances that payday takes back, so it matches the amounts on each person's row. Someone who was paid for the month and then deactivated now stays in that month's totals.

FixedOwners

The balance sheet opens even when a tank reads below zero

A tank that sold fuel before its delivery was entered now shows its stock with a minus sign and is valued negative at its latest rate, with a note, instead of stopping the balance sheet and stock screens from opening. Money owed back to staff after an advance was removed now shows as owed to staff. Someone moved between your stations is counted once in wages, and an advance from their old station is taken back on their new station's payday.

An expense ledger for every category, and your own categories on the P&L

Reports now has an expense ledger: every category's spend for the range, and each one opens to show what it cost before, every expense with a running total, and the total to date, with an Excel download. Your stations' own categories get their own lines on the P&L, and each line opens its ledger.

Your own expense categories, and an expense ledger by category

On the Cashbook, pick "Add a category…" in the category list to make one of your own, such as Generator diesel or Bank charges. Manage categories deletes one you no longer need. If expenses were already recorded under it, they keep it and it only leaves the list. Reports → Expenses shows every category's spend as a ledger, with an Excel download.

Counter bills on credit show what was bought

When a counter bill is charged to a credit customer, their account and statement now list the items on it, with a link to the invoice. A cancelled credit bill is marked Voided on the account, next to its reversal.

NewManagersAttendants

Two attendants can now work the same nozzle together

When you assign an attendant to a nozzle someone else already has, tick Share and both are rostered on it. They open it once, close it once and hand in one cash bag. Whoever opens it ticks who they are working with. If the bag is short, each person gets an equal share of the shortfall to review.

NewManagers

Bring in your PetroSoft history as closed days

When you import a PetroSoft backup, Maxify can now bring in every past day as well: sales by nozzle, attendants' collections, deliveries, expenses, pay and customer payments. Each day is closed, so the Day Book, DSR and every report show it. You are asked for your tank stock on the first day and any deliveries PetroSoft is missing. No alerts are sent for these days, and old shortages never reach anyone's pay.

The Import screens are easier to work through

Import now shows one step at a time, with Continue and Import always at the bottom of the screen. Questions come first, with a Next question button and the sheet's first rows beside them. The row check fills the screen, and its sheet tabs no longer pile on top of the table on a phone.

Importing never duplicates or changes the station you have already set up

If you set up fuels, tanks, dispensers and nozzles before importing, the file's fuels and tanks are matched to yours, and you are asked about any it cannot match. Bring your loans and licences across from your old software

Credit customers and what they owe, cash and bank balances, shift timings, UPI QRs and card machines can now be imported too.

ImprovedManagers

Carry in a credit customer's opening dues at any time

A customer's account now has a Record opening dues box when they have none. Use it for what they already owed before their account was opened in Maxify Fuels. Until now opening dues could only be typed when the customer was added. Once recorded, they are corrected from the statement as before.

Print or save your P&L, balance sheet and tax report as a PDF

The P&L, the balance sheet, the tax report and past bills each have a Print / PDF button. It opens your browser's print window, where you can print or save as a PDF. Pages are numbered, and it prints on white paper even if you use the dark screen.

It opens your browser's print window, where you can print or save as a PDF. The copy starts with the Maxify Fuels letterhead, your station's name and address, and the day or dates it covers. Correct a roster or somebody's hours yourself

Open a roster or hours entry in the audit log, or a person's page under Payroll, to see their day: the shift they were put on and the hours recorded. Change shift moves them to the right one and takes that day's hours with it, and Edit hours corrects the figure. You can change a month whose pay is approved but not yet paid; it is worked out again and has to be paid again. Your manager is told about every change.

Put somebody on the right shift after the fact

Somebody rostered on the wrong shift now has Change shift beside Remove on Dispensers. It moves them, and the hours recorded for that day go with them, even after the shift was handed over or the day closed. Don't take them off and assign them again; that records the new shift's hours beside the old. Dragging somebody onto a dispenser now starts on the shift running now, not the all-day one.

Drag an attendant onto a dispenser for a custom shift

When you drag an attendant onto a dispenser in 3D Station Control, the shift list now ends with Custom shift. Type when it starts and ends, and a name if you like, exactly as in the Assign dialog. It is for that day only, and the hours are worked out from the times. A station with no regular shifts set up can now assign by dragging too.

ImprovedOwners

The audit log now reads in plain words

Each entry in the audit log now says what happened in words — "Shift handed over", "Expense corrected" — and shows amounts in rupees and fuel in litres. A correction lists only what changed, before and after, with the reason given. The record exactly as stored is still there under Show raw.

Correct a credit fill's litres or amount, or remove it

A credit fill taken at a shift handover now has Edit and Void beside Move on the customer's statement. Editing replaces it at the price it was sold at; voiding removes a fill that never happened. The customer's dues and the handover's difference are worked out again together, and both the old and the new fill stay on the statement.

NewManagers

Cancel a shift opened by mistake

A shift opened on the wrong nozzle or for the wrong attendant can now be cancelled while it is still running, with a reason. It then counts for nothing — not sales, hours or attendance — and the nozzle is free for the right shift. It stays on the record, and the owner is told. A shift already handed over is corrected instead.

NewManagers

Correct a shift's opening meter reading

An opening reading typed wrong can now be corrected, with a reason, on a shift that is still running or one already handed over — in which case its expected sales and the handover's difference are worked out again. Corrections: every entry you can still fix, in one place

A new Corrections item in the menu lists everything recorded at your station lately — expenses, deliveries, handovers, bills, test draws, morning routines and more — with the same Edit or Void button each one has on its own screen. Open a row in the audit log and, if the entry it is about still stands, the same Edit, Void or Correct button its own screen has is right there — shift readings and cash handed over, counter bills, test draws and morning routines included, which had no owner screen before. An entry that was corrected since points at its current version. Choose "Correctable records" under Entity type to see only those.

Once the day is closed the purge figures are locked, because the day's closing was built from them.

Card & UPI is simpler to read and to set up

Card & UPI now opens with one answer — matches, does not match, or what it is still waiting for — with the three figures it rests on underneath, and each day carries a status such as Matches, Differs or Report missing. A report is checked the moment you choose the file, so there is one Import button to press. Card machines and UPI QR stickers now share a single Setup tab.

A shortfall is taken from the month it happened in

A shortfall you confirm after the month has ended now comes out of that month's pay, as long as you have not paid that month yet. Bill counter sales from an attendant's panel in 3D Station Control

Click an attendant in 3D Station Control and their panel now has a Counter tab beside Shift and Routines — the same counter as Attendant entry. Bills you make there are recorded against that attendant, so the sale counts in their row at day close.

3D Station Control shows your forecourt while it loads

While 3D Station Control opens, you now see a faint outline of the forecourt — the office, the dispensers, the tank farm and the shop where they will stand — instead of a grid of grey cards. The outline stays until the 3D station has finished drawing, so the screen no longer goes blank in between.

Ask Maxify knows the new screens

Ask Maxify now follows the date in the header, and a shift you open or close from the chat uses the same Shift form as Attendant entry — with its times and the UPI QR code. You can ask it who is absent or on leave, about loss of pay and half days, when a shift opened, and how much UPI came in on each QR code. It can also prepare approving or declining a leave request, and the owner paying money back or investing.

NewManagersOwners

Owner's money: drawings, money paid back and investments

The Cashbook's Owner drawing card is now Owner's money. Choose what happened — the owner took money out, paid money back, or put in money as an investment — and the cash or bank balance moves the right way. None of these change profit. The owner can record them from their own Treasury screen too, where each station shows what has been taken out, paid back, is still out, and has been invested.

ImprovedManagers

Pay wages now lives in Payroll only

The Pay wages form is gone from the Cashbook, because it was the same form Payroll already has. To pay a daily or hourly worker for a day or a shift, open Payroll, tap their name, and use Paid on the day. The payment still shows in the Cashbook as money leaving the till.

NewManagers

Record which QR code the UPI came in on

Save your station's QR codes, with the UPI ID or code printed on each, under Card & UPI → QR codes. When you enter a shift, pick the QR next to the UPI amount — the one that attendant used last time is already chosen — or split the UPI across several QRs. The QR codes tab then shows how much UPI each QR took, to check against the provider's app. It is optional: leave it as Not recorded and nothing changes.

ImprovedManagers

Take somebody off a dispenser by dragging them to the bench

Assigned somebody by mistake? In 3D Station Control, drag them from the dispenser back to the bench and confirm. Removing their last nozzle in a shift now also removes the hours the roster recorded for it, so a mistake is not paid; hours somebody corrected by hand, or in a month already approved or paid, are kept and the app says so.

Drag somebody onto several nozzles, or move them

When you drop somebody on a nozzle in 3D Station Control, that nozzle is ticked and the dispenser's other nozzles are there to tick too, or all of them with Whole dispenser. ImprovedManagers

Different times for different nozzles

When you enter a shift for somebody who worked several nozzles, one opening and closing time still covers them all. If one nozzle was taken over or stopped at another time, tap Different times per nozzle and set just that one; the money is still counted once. In 3D Station Control, somebody working on two dispensers is shown at both: solid where they have started, faded where they have not yet.

Rostered the wrong person? Say "unassign Lakshmi" and Ask Maxify prepares taking her off every nozzle she holds for that shift — or name a nozzle to take her off just that one. There is nothing to generate or approve any more. Pay by the hours actually worked

Attendance and Payroll now show, for each person and day, the hours the roster planned beside the hours they actually worked — from their check-ins, or else their shift's open and close — and what the timesheet pays. Accept the actual hours in one tap. Hours you type yourself when writing up an earlier day are accepted as you enter them.

ImprovedManagers

Choose which day a night shift belongs to

On the Station page, pick whether a shift that runs past midnight belongs to the day it started, or split the day at a time you choose — like 6 am. A night attendant's phone now stays on their night after midnight, so they can hand over from it.

ImprovedManagersAttendants

No more night meter readings — the last handover closes the day

The Night tab is gone. Each nozzle's closing for the day is simply its last handover, and closing the day records it for you. The day close shows every nozzle's closing and where it came from, and asks only about a nozzle nobody worked — leave it as not used, or type what the meter says.

ImprovedManagersAttendants

A handover frees the nozzle for the next attendant

When an attendant hands over, the nozzle is free straight away and the next attendant's opening is filled in from that close. If the meter has moved in between, you are told — and it is charged to nobody. On 3D Station Control, attendants who have handed over sit on the bench in blue, marked Done for today, and can still be dragged onto a nozzle.

ImprovedManagers

Tap a tank on 3D Station Control to see its stock and act on it

A tank's panel now shows what it holds, how much room is left for a tanker, its reorder level and last night's DIP against the book — with Record delivery, Write off stock and Transfer fuel side by side, and its recent deliveries, write-offs and transfers with Edit and Void, just as on the Inventory page.

ImprovedManagers

Shifts now keep real times, and each nozzle shows who held it and when

Opening and handing over a shift now records the time it actually happened, from the server's clock rather than the phone's — and a handover saved on a phone with no signal keeps the time it was made, not the time the signal came back. When you type up a day afterwards for an attendant, the Shift form asks when they opened and handed over. Each nozzle on the Dispensers screen now lists the day's shifts: who, from when to when, and the meter readings.

NewManagersAttendants

Attendants see their day at a glance, and you hear when somebody hasn't turned up

An attendant's My day now opens with where they are rostered today, how their month reads on the attendance register, and one tap to ask for leave or see their payslips. Where your station takes check-ins, you get a notice when somebody rostered has not checked in, opened a shift or been marked half an hour after their shift began — once for each missed shift, never repeated.

NewManagersAttendants

One station phone for check-in: attendants scan their face, or type a PIN

If your attendants don't have phones of their own, choose One station phone under How attendants check in, open the Station page on the phone you will keep at the forecourt, and pair it — you are signed out of it, so it can be handed round. Attendants scan their face (or type a 4-digit PIN you set on Staff), confirm it's them, and check in or out; they can also open their own Morning, Shift and Night screens for a few minutes. The attendance page now shows the hours check-ins come to, with one button to put them on the timesheet.

NewManagersAttendants

Attendants can check in with their face, on their own phone, at the station

Under Station, How attendants check in: save the station's location and switch it on, and each attendant's My day screen gets a Check in button. They set up their face once (after agreeing to how it is used — no photo is kept, and they can remove it any time), then check in and out with it, only while they are at the station. The attendance register fills itself in from check-ins, marking anybody late against their shift, and you can still mark or change anybody by hand. It is off unless you switch it on.

NewAttendantsManagers

Ask for leave from your phone

Attendants have a new Leave screen: pick the days, say what it is for and whether it is paid, and send it. Your manager sees it on the attendance register and approves or declines it, and the answer appears beside your request. You can withdraw a request while it is still waiting.

NewManagersAttendants

Payroll reads the register: loss of pay for absent days, and half days for daily wages

On the payroll screen, a monthly salary now shows the unpaid days from the attendance register — absent days, unpaid leave and the missing half of a half day — with Apply loss of pay, at the salary divided by 26 for each day. Nothing comes off anybody's pay until you press it, and Remove puts it back. A daily wage gains a Half days box, paid at half the day rate, and both boxes start from what the register says. The payslip and the payroll spreadsheet show the figure.

NewManagers

An attendance register: mark who came in, with the app's suggestions to accept

Attendance, under Money, is the month as a grid — everybody the station pays, including the cleaner and the watchman. Tap a day to mark it present, a half day, absent, on leave, off or a holiday. The app suggests a day from a shift worked, approved leave, a station holiday or somebody's weekly off (set those on Staff), and one button accepts them all; it never marks anybody absent for you. Leave you record waits for your approval before it touches the register. The month downloads as a spreadsheet.

NewManagers

Work from the station itself: tap a person, a pump, a tank or the office and do the job right there

Tapping anything on 3D Station Control opens its work beside the station instead of leaving it — an attendant's Morning, Shift and Night, a dispenser's nozzles and roster, a tank's DIP and delivery, the prices, the counter, and the office's day close and shortfall review. Drag a person onto a nozzle to roster them, and use Arrange to move the dispensers to where they stand on your forecourt. Build adds dispensers, tanks and staff, and a new station sees a setup checklist along the bottom. Because all of that lives in Today, Dispensers, Attendant entry, Shifts, Day close and Counter have left the menu; every panel still has Open the full page.

NewManagers

3D Station Control: your station, drawn — the pumps, the people on them, the tanks and the office

Your home screen shows the forecourt: each dispenser where it stands, each attendant beside the nozzles they hold (green on shift, blue handed over, faint if not started, on the bench if not rostered), the tanks filled to their stock, and the office with a pile of files when a shortfall waits for review. Tap anything to open its screen. The rings along the bottom are the day's checklist, and Day summary in the corner has the figures the old Today page opened on. On a phone it is the same station as a list.

ImprovedManagersAttendants

The Morning, Shift and Night forms are quieter and laid out like the day book

Each nozzle is now one line — its opening, closing and test figures side by side under headings written once — instead of a card with the same long label on every box. Cash, UPI and card sit together, the summary of what was expected and what was entered sits with the button, and a figure the app filled in for you (like tonight's closing carried from the last handover) is tinted so it never passes for one you read. Nothing you enter or how it is recorded has changed.

NewManagers

Pick a day once, in the header, and the whole app works on it

The date now sits in the top bar instead of on each screen. Pick an earlier day there and every screen follows it — Dispensers, Attendant entry, Shifts, Day close, Dip & density, the Counter and the reports — and cashbook entries, credit settlements, dealer payments, write-offs and stock corrections are recorded on it too, which they could not be before. A soft glow round the screen and a bar under the header tell you you are not on today; Back to today returns you. It resets to today when you sign out, and after three hours.

ImprovedManagersAttendants

An attendant's day is now three tabs — Morning, Shift and Night — each one simple form

The step-by-step flows are gone. Morning takes the litres purged per nozzle and the checklist; Shift takes every opening and closing reading, the money and credit fills on one page with one button; Night takes the closing readings. Old links still work and land on the right tab. The DIP and density are no longer asked for here — the manager records them on Dip & density.

A compliance calendar for licences, GST returns and loan dates

Add your PESO licence, dispenser stamping, fire NOC, pollution consent, trade licence and insurance with their expiry dates, and Maxify emails you before each one falls due and again if it passes without being renewed. The same list shows each station's GST return due dates and any loan EMIs or cash-credit renewals coming up. GST returns are only reminded about once you tell Maxify which month you have filed, on the tax report.

Insights now explains why your profit went up or down last month

Pick a month under Insights and it compares that month with the one before, in plain sentences with the biggest changes first — fewer litres sold, a price change, a higher electricity bill, and so on — with a table underneath that adds up exactly to your P&L. It also shows the money your findings turned up: the total of the findings you marked as seen that month, and since you started.

NewOwnersMaxify Intelligence

Insights now shows a cash plan for the next 14 days, station by station

Under Insights, each station has a day-by-day plan: the cash and bank you hold today, the takings of a typical day, and the fuel orders, dealer bills and loan EMIs that fall due. If the money looks like running short, it names the day and what falls due on it, so you can move money or talk to the dealer before it happens. It is an estimate — a fuel order for a tank with no delivery on record is listed but not counted, and monthly payments such as salaries and rent are not included.

Find out when card or UPI money has not reached you

If you import your card machine's or QR's reports on the Card & UPI page, the Insights page now tells you when payments older than three days are missing from every payout — and alerts you when the provider has paid out later money but not these. If you only import the payments report and not the payout (settlement) report, it says so instead of guessing, and it also tells you when a machine has gone three or more closed days with no report imported at all.

See which credit customers are falling behind, before it becomes a bad debt

The Receivables screen now splits what each customer owes by how old it is — up to 30 days, 31–60, 61–90 and over 90 — with a total for the station underneath. With Maxify Intelligence, the Insights page also tells you about a customer who is over their limit with old dues, has left anything unpaid for more than 60 days, keeps buying on credit without paying, or is paying much more slowly than they usually do. You hear about each customer once, not every night, and get an alert when it turns serious: money unpaid for over 90 days, or over their limit with dues past 60 days.

Debit notes for a customer who was charged too little, and a note can now be cancelled

On the Credit & debit notes screen, find the invoice and choose Issue debit note to charge the difference, with GST, in cash, UPI, card or to the customer's account. A note issued by mistake can be cancelled from the same list, with a reason — the manager within the usual correction time, the owner at any time — until the owner marks its month as GST filed. The tax workbook now also has the Documents Issued sheet your accountant needs for the GST return.

NewOwnersManagers

Issue GST credit notes when goods come back or a price was too high

From a bill's row on the Counter, choose Credit note, then enter the units the customer brought back or the amount to give back. The goods go back on the shelf, the refund is paid from the till or the bank and shows in the cashbook, and a bill charged to a customer's account comes off what they owe. The invoice itself is never changed; the credit note is a new document with its own number, the customer gets their own copy to open or print, and the GST report nets it in the month you issue it. The owner is told about every credit note.

NewOwnersManagers

Tell Maxify which month's GST return you have filed

On the tax report there is a new box for each station: GST filed up to. Once you set a month there, counter invoices from that month and earlier can no longer be cancelled by anyone — they have been reported to the government, and the right correction is a credit note. The invoice prefix is now limited to two letters so invoice numbers stay within GST's 16 characters; a station already using a longer one keeps working and is shown how to change it.

FixedOwners

A cancelled subscription now turns your stations read-only when the paid period ends

If you cancel, everything keeps working until the end of the period you have paid for. After that your stations become read-only: you and your staff can still open and export every reading, bill and ledger, but nothing new can be recorded. They are never locked, and nothing is deleted. The Billing page shows the date this happens, and subscribing again from there turns everything back on.

NewOwnersManagersAsk Maxify

Ask Maxify can register and look after loans, and retire or convert a tank

Owners can ask Ask Maxify to register a loan with the EMI from the sanction letter, change its terms (with a reason when the money moves), true it up to the bank's statement, correct a loan entry, or archive a loan once it is repaid. Managers can take a tank out of service or switch it to another fuel — Ask Maxify asks what happens to any fuel still in it — and ask the owner to correct a tank's opening stock. Nothing is saved until you tap Confirm.

NewManagersOwnersAsk Maxify

Ask Maxify can correct deliveries, payments, write-offs, shop purchases, EMIs and shift figures

Say "invoice 4471 was 12000 litres, not 13000" or "Sri Lakshmi's payment bounced, cancel it" and Ask Maxify finds the entry from what you said and prepares the correction — asking which one when two match. Everything you did not mention stays as it was. The same time limits apply as on the screens: once a day is closed or the hour has passed, only the owner can correct it, and the card says so. Every correction needs a reason. Nothing is saved until you tap Confirm.

NewManagersAsk Maxify

Ask Maxify can do the month-end payroll work, up to approval

Say "Gopal worked 22 days this month", "give Irfan a 1000 Diwali bonus" or "approve Mahesh's payroll" and Ask Maxify prepares it. It can also start the month's payroll, enter hours for hourly staff, reopen an approved run, take a bonus back out, give back a shortfall deduction (the owner is emailed), and void a wage payment entered by mistake. Paying the month is still done on the Payroll screen. Nothing is saved until you tap Confirm.

NewManagersAsk Maxify

Ask Maxify can make and cancel counter bills, and look after the shop's products

Say "bill 2 engine oil, paid by UPI" and Ask Maxify prepares the tax invoice priced exactly as the counter prices it; after you confirm it tells you the bill number. Confirming the same card twice never issues a second bill. It can cancel a bill by its number (a bill is cancelled and re-issued, never edited), add a shop product or change its price, set the station's GST details, remove a vehicle from a credit customer, and stop a statement link you shared. Nothing is saved until you tap Confirm.

NewManagersAsk Maxify

Ask Maxify can set up shifts, standing roster lines and the station's opening figures

Say "add an afternoon shift from 2pm to 10pm" or "Mahesh does dispenser 1 every Monday evening" and Ask Maxify prepares it. It can also switch a shift off, remove a standing roster line, set the day the station started using the app, record or correct the cashbook's opening cash and bank, record your own closing readings for a nozzle nobody was rostered on, and change the tank policy. Nothing is saved until you tap Confirm.

NewOwnersManagersAsk Maxify

Brainstorm with Ask Maxify about growing sales and cutting costs

Ask "How can I improve my profit?" or "Where are we losing money?" and Ask Maxify looks at your own figures first — what moved against the previous period, which costs rose, shortfalls, tank losses and slow-paying customers — then suggests a few ideas, each tied to a number, and asks what you want to dig into. Owners get the full picture including profit and loss; managers get the station's operations.

NewManagersAsk Maxify

Ask Maxify can add a nozzle, a tank or a fuel, and correct a dispenser, nozzle or tank

Say "add a diesel nozzle to dispenser 1", "dispenser 3's serial is TK-4471" or "tank 2's capacity is 15000 litres" and Ask Maxify prepares it — changing only what you asked and keeping everything else as it was. Saying a nozzle really draws from a different tank prepares the re-map with the stock repair already worked out, the way the Dispensers screen does, and says it will email the owner. Nothing is saved until you tap Confirm.

NewManagersOwnersAsk Maxify

Ask Maxify can take someone off the staff, reset a password, and set the shifts an attendant may work

Say "Irfan has left, take him off the staff" and Ask Maxify prepares it — they are signed out everywhere at once, and nothing they recorded is removed. It can also put somebody back, set a new password (type it on the card, never in the chat), correct a watchman's or cleaner's job title, and set which shifts an attendant may work. Nothing is saved until you tap Confirm.

NewOwnersAsk Maxify

Change your stations' policies and pay rates from Ask Maxify

Tell Ask Maxify to raise a station's mismatch tolerance, give managers more time to fix their entries, set overtime or the deduction cap, or change somebody's pay rate, and it prepares the change for you to check and confirm. You can also acknowledge or dismiss a finding by describing it. Every change is recorded in the audit trail exactly as if you had made it on the screen.

NewManagersAsk Maxify

Ask Maxify can now add a dispenser with its nozzles, and a member of staff

Say "add a dispenser with two nozzles, petrol and diesel" and Ask Maxify prepares the machine with each nozzle mapped to the tank holding that fuel — or asks which tank when two hold it. Say "add Manu as an attendant" with their email and pay, and it prepares the account. Type the new password on the card, not in the chat: conversations are kept, and anything typed into one stays there. Nothing is saved until you tap Confirm.

NewOwnersAsk Maxify

Ask Maxify compares your stations and tells you what needs your attention

Ask "compare my stations this month" to see sales, margin, shortfalls, cash and credit side by side, with the leader of each named. Tap "What needs my attention?" for days not closed, closes that did not tally, customers over their limit, low tanks, unpaid payroll and loan instalments due, across every station. You can also ask what a particular manager changed, about your loans, and about your Maxify plan.

Ask about cash, tank levels or who owes you without naming a station, and Ask Maxify now answers for every station, side by side, instead of asking which one you meant. An entry you confirmed in Ask Maxify stays confirmed

After confirming an entry, going to another screen and coming back showed the card as "Not saved yet" again, and tapping Confirm a second time was refused because the entry already existed. Ask Maxify now takes dictation — tap the mic and say your question

There is a mic button beside Send. Tap it and speak, and tap again to stop — or on a computer just hold Ctrl (Control on a Mac) while you talk, and on a phone press and hold the mic. Your words land in the box for you to check before you send. It listens in the language the app is set to, English or Malayalam; your browser turns the voice into text using its own speech service (in Chrome, that is Google), and the box says so while it listens.

NewOwnersManagers

Install Maxify on your computer and open it like any other program

In Chrome or Edge, an Install as an app button now appears at the foot of the menu. It puts Maxify in your Start menu and taskbar, and it opens in a window of its own without the browser's tabs and address bar. It is the same Maxify, with the same account and figures, and it keeps itself up to date.

FixedManagersOwners

Changing a tank's opening stock now tells you who can do it, and asks them for you

Typing a new opening stock on the Edit tank dialog and pressing Save changes did nothing — that figure has its own button, and the save quietly dropped it. It now keeps what you typed and says so. Because a tank's opening stock is a ledger entry, only the owner can change it once the first hour has passed, so the dialog offers to send them the new figure and your reason; nothing moves until they apply it.

FixedManagers

Attendant entry stays on the day you are entering

Cleaners, watchmen and helpers go on the payroll without needing a login

Staff who never touch the app can now be paid through it and appear in the profit and loss. Add them under Staff with a job title; they need no password and no account.

NewManagersOwners

Wages paid out on the day are netted off the month they were earned in

Daily hands paid from the till at the end of a shift are recorded as it happens and deducted from that month's payroll, so nobody is paid twice and the cashbook matches the register.

FixedManagersOwners

An overtime hour now costs its multiplier, not one extra hour on top

Overtime at twice the rate was adding one further hour's pay rather than doubling the hour. A draft payroll run picks the corrected figure up the next time it is restated; a month already paid is corrected by back-pay on the next run.

17 Sept 2026

NewManagersOwners

Card and UPI takings are checked against what the machines actually processed

What the attendants reported at handover is now reconciled against the card machine's own settlement, so a missed swipe or a double entry is caught the same day instead of at the month's end.

NewOwnersManagersAsk Maxify

Ask Maxify can read the books, the day's work, the wage bill and your customers

Ask it what a customer owes, how a shift went, what the shop sold or what the month's wages come to, and it answers from your own figures. Where a number is an estimate it says so rather than quoting it bare.

A statement per shift showing what was expected, what was collected and by whom — and an attendant is no longer tied to a single machine.

A submit whose reply was lost on a patchy signal is no longer recorded twice

The forecourt network drops often enough that the phone retries. A retry that arrives after the first one succeeded now returns the original result instead of an error or a duplicate.

The manager's screens can be read in Malayalam

A language toggle in the header, remembered for a year. English remains the default.

NewManagers

The manager can enter an attendant's readings for them, on the attendant's own screens

Most attendants are not comfortable with the app, so the manager holds the phone. The shift, the shortfall and the payslip still belong to the attendant; the trail records who typed it.

Mistakes are corrected on the record, never edited away

A wrong entry is reversed and replaced, with a reason, and both halves stay visible. Managers get an hour to fix a typo; after that, and after the day is closed, it is the owner's to correct.

A reading submitted with no signal is queued and sent when the signal returns

Forecourt networks drop. A submit that cannot reach us is held on the phone and drains while the app is open, rather than being lost or silently retried for ever.

The statements and operational reports a pump is used to keeping

The daily sales report, the short and excess statement, and the accounting statements your existing package produced — in the same shape, so the change of software does not mean a change of paperwork.

Premium grades, and density recorded alongside the dip

Credit customers, the cashbook, and what the station actually made

Tanks, the counter, payroll and the owner's dashboard

Tank and dispenser inventory as a proper stock ledger, counter sales and GST invoicing, payroll with shortfalls flowing through to deductions, and a dashboard that shows an owner every station at once.
